Responsibilities

As the Project Coordinator with Hines, you will facilitate the review of homebuilders’ architectural plans, both “master plans” and “individual plans”, and provide comments based on the Design Guidelines for each respective project. Customer service and attention to detail are the primary focus of this position. We are seeking a reliable, honest, hard-working candidate that is able to work in a fast-paced environment. Candidate needs to be a self-starter. Responsibilities include, but are not limited to: 

 

  • Review new home plans for large-scale master planned communities in DFW and Houston.

  • Have intimate knowledge of the Governing Documents and Design Guidelines for each of these communities to efficiently review home plans as they are submitted.

  • Assist in creating the Design Guidelines for a new community. Work with management and potentially 3rd party architects to complete.

  • Provide top-notch customer service by responding quickly to emails and phone calls.

  • Keep an extremely organized file structure, with documentation of when plans are submitted, when they are reviewed, and when they are responded to.

  • Form relationships with homebuilders’ submittal teams with the goal of long-term customer satisfaction.

  • Provide support to other team members.

  • Prepare check requests for master plan submittals and work with the internal accounting department to collect fees from Project accounts.

  • Prepare monthly accounting reports to submit to the Region.

  • Potentially drive to communities around the DFW metroplex for in-person checks of built homes as needed.

  • Other projects as needed and assigned.

Qualifications

Minimum Requirements include:

 

  • High school diploma or equivalency required from an accredited institution. Some college preferred but not required.
  • One or more years' experience in an office environment performing similar tasks preferred (property management and/or architectural review process). Two or more years of administrative support (or related field) required.
  • Proficient in Microsoft Office (including Word, Excel, and PowerPoint) and PDF.
  • Will be trained in the Cecilian XO system for online plan submittals.
  • Excellent communication skills.
  • Strong working knowledge of customer service principles and practices, ability to perform with minimum supervision and make decisions independently.
  • Ability to multi-task, effectively prioritize workload, meet hard and fast deadlines.
  • Must be a team player.
  • Must possess strong analytical skills.
  • Detail-oriented with multiple tasks, information organization.
  • Ability to lift general ledgers, files, records, and computer paper (approximately 5-35 lbs.).

  • Position will not require traveling; selected candidate will be able to work in a hybrid capacity.
  • Work overtime as business needs deem appropriate.
