Responsibilities

As a Receptionist with Hines, the primary function is to perform reception tasks and assist Office Management. Responsibilities include, but are not limited to: 

 

  • Move-in and move-out practices, ensuring a quality welcome for tenants.
  • Site inspection of the structure for tenants.
  • Structure tour of the shared areas (e.g. gym order, coworking, bike room) and their good maintenance.
  • Organize and supervise the shared areas.
  • Use of the PMS and support in the implementation of the PMS itself and the App.
  • Creation and coordination of events within the structure.
  • On-site marketing support for activities/communications/branding.
  • Finance side support for reviewing tenant payments/unpaid balances/balance sheets.
  • Management of complaints by tenants.
  • Communication of move-outs for timely re-marketing.
  • Point of reference for on-site safety and system updating.
  • Receive shipments and parcels for tenants.
  • Key Contact person in case of on-site collection of parcels.
  • Inspections of small maintenance interventions/deficiencies: e.g., Remote control/cooling system malfunction and coordination with handy person.
  • Reporting malfunctions/interventions required within the shared areas.
  • Collection of requests/delivery of upselling services from tenants (e.g. tents/kitchen & linen pack).
  • Restaurant reservations.
  • Booking services: baby-sitting, dog sitting, food and flower/theater delivery.
  • Concierge services and advice on activities in the area (restaurants, hairdressers, etc.) and related reservations if requested.
  • Verify that maintenance work conducted for tenants is conducted promptly.
  • Taxi booking/rental car delivery/other tenant notifications.
  • Delivery and collection of tenants' laundry (this if not conducted directly by the laundry).
  • When booking coworking spaces: check the order of the operating spaces for the devices.
  • Tour the structure and check the state of cleanliness.
  • Setting of internal procedures and best practices.
  • Site inspection of the apartments during the move in-move out phase and signing of the delivery and redelivery reports.
  • Setting up reports as required by Operations Manager.

 

Qualifications

Minimum Requirements include: 

 

  • Speaking at least two languages ​​fluently (Italian and English), a third language is a plus.
  • Confident with the use of technology.
  • Good PR skills both with tenants and with representatives of commercial activities in the area and collaborators of procurement services.
  • Knowledge of the systems present in the structure and is available in case of night alarm.
  • Basic administrative knowledge (based on our needs.
  • Available to work on shifts, during public holidays, and weekends.
  • Possibility of being transferred to other buildings for future openings.
  • Available via business WhatsApp number.
