As a Building Concierge with Hines, you will be responsible for both front-of-house services and property administration duties with the focus on the two components changing with the needs of the business. Reporting to the Property Manager, this role is responsible for front-of-house services. You will be the face of the building ensuring all tenants and guests are greeted and provided with a professional and courteous service. In addition to the customer facing duties, this role will also support with some property administration across the Hines asset portfolio. The Building Concierge will work closely with both the Property Manager and Facilities Manager as well as collaborate with external service providers to maintain a well-functioning asset. Responsibilities include, but are not limited to:
Greet visitors, clients, and staff, and manage the visitor and contractor check-in process.
Resolve any guest/tenant complaints as promptly, professionally and efficiently as possible.
Follow building procedures including opening and closing, security, bookings & deliveries.
Updating screen content throughout the building.
Create and implement a tenant event calendar for the Building, including event coordination, meeting with vendors, pricing options and present initiatives for approval.
Amenity Management, Training & Development Assistance - Oversee building amenity spaces and the management and operations of building amenities (emergency training, recycling strategy, building fit out presentation, preparation of policies, elevating spaces such as cycling storage facilities).
Processing accounts payable invoices.
Ensuring all sundry charges and direct recoveries are raised in a timely manner.
Assisting with monthly report preparation
Supporting with tenant onboarding administration.
Assisting in managing the tenancy schedule for each property.
Working with the Facilities Managers to support in raising purchase orders and setting up contracts in MRI.
Supporting Lease Administration monitoring critical dates including lease expiries, bank guarantees and insurances.
Tenant PL Insurance management.
Tenant arrears correspondence.
Updating building Matrix and Pulse.
Keeping excel log of statutory charges.
Any other various admin duties that may arise from time to time.
Minimum Requirements include:
Proven experience in a front-of-house, reception, or concierge role, preferably in a property or hospitality setting.
Strong customer service experience, with the ability to interact professionally with clients and stakeholders.
Excellent organizational, multitasking, and prioritization skills to maintain a functional and tidy office environment.
Strong interpersonal communication skills and a proactive, client-focused mindset for delivering high-quality service.
A high attention to detail
Strong written skills with the ability to compose business letters, expositions, summaries, and reports, using proper format, punctuation, grammar, diction, and style.
Strong oral communication and presentation skills.
Demonstrated ability to work as part of a constructive and collaborative team.
Good understating of property terminology and property administration.
Demonstrated proficiency in Microsoft Office software and web applications.
Prior working experience with MRI is advantageous but not essential.
