Responsibilities

As a Leave & Absence Administrator (Absence Advocate) with Hines, you will be responsible for administering Hines’ leave and absence policies and programs, ensuring all requests for time away are handled appropriately and efficiently. The position entails a specific focus on ensuring that these policies and programs meet all applicable compliance and regulatory requirements. The successful candidate will engage with multiple internal partners and the leave administration vendor to provide excellent service and support to a diverse and growing work force. Responsibilities will include, but are not limited to:

 

  • Serve as single point of contact for employees, managers, and HR partners with respect to leave and absence related inquiries, including but not limited to FMLA, STD, LTD, vacation, safe and sick time, and military leave.
  • Coordinate with Hines’ leave administration vendor partner to ensure accuracy of all STD, LTD, FMLA, and company sponsored leave claims.
  • Ensure proper coordination with other paid time off programs, including Workers Compensation, state, and union provided benefits.
  • Clearly communicate decisions and ongoing expectations to employees and their managers.
  • Process leave transactions in Workday, including entering, editing and discontinuing approved leaves.
  • Coordinate with Payroll, other internal functions, and external payers to ensure accurate payment of disability and other paid time off benefits.
  • Maintain up-to-date working knowledge of relevant federal, state, and local laws and entitlements.
  • Analyze leave utilization data and provide metrics and reporting as needed
  • Draft and develop policies, procedures, process flows, and employee facing resources as needed.

Qualifications

Minimum Requirements:

 

  • Bachelor’s Degree from an accredited university or equivalent preferred
  • One or more years of experience with leave and absence management
  • Excellent written and verbal communication skills
  • Ability to manage several projects simultaneously while working under pressure to meet deadlines
  • Advanced knowledge of Microsoft Office Suite or similar software; intermediate to advanced Excel knowledge preferred
