Responsibilities

As Manager - Leave & Absence at Hines, you will be responsible for the overall administration of Hines’ leave and absence policies and programs in the US and Canada, as well as for overseeing a team of Absence Advocates tasked with the appropriate and efficient processing of employee requests for time away. The position entails a specific focus on ensuring that policies and programs meet all applicable compliance and regulatory requirements, and the role is responsible for continuous monitoring of the legislative landscape for new requirements and collaborating with internal partners to implement as appropriate. The successful candidate will have the ability to engage with multiple internal partners as well as with Hines’ third-party administrator(s) to provide excellent service and support to a diverse and growing work force. Responsibilities include, but are not limited to: 

 

  • Manage the Absence Advocate team, including providing guidance on complicated or challenging leave cases, responding to escalations, clearly communicating decisions and expectations and ensuring all performance metrics are met and exceeded
  • Exercises a strong customer service orientation with the ability to anticipate internal and external customer needs in a helpful and empathetic manner
  • Lead team operations, including developing internal and external facing process flows, policies, and procedures and partnering with internal partners and external vendors to implement
  • Manage vendor partners, including scheduling and participating in ongoing meetings, monitoring performance and associated guarantees, and resolving contract and payment issues
  • Provide subject matter expertise on leave administration, including federal, state, and municipal regulations
  • Understand and integrate leave programs, including company leaves and disability benefits, union time off, and workers compensation
  • Collaborate with stakeholders in the leave process, including HR Business Partners, People Managers, Employee Relations, HRIS, Payroll, and Legal
  • Explore and implement new technologies to enhance employee experience and increase team efficiency
  • Develop and track metrics related to leave and absence and employee experience
  • Provide regular reports to leadership to share metrics and inform of strategic improvement opportunities
  • Develop training curriculum for employees, people managers and HR partners
  • Support other initiatives as needed

Qualifications

Minimum Requirements include: 

 

  • Bachelor’s Degree from an accredited university or equivalent
  • CEBS, CLA, CLMS, PHR, and/or SHRM-S/CP designation(s) considered a plus
  • Five or more years' leave and absence management
  • Two or more years' people management
  • Demonstrated track record of cross functional leadership, collaboration, and relationship building
  • Excellent professional written and verbal communication
  • Provide supportive leadership to the team by capitalizing on each person’s strengths, coaching individuals for optimal performance, and helping staff achieve personal and career aspirations
  • Strong critical thinking skills, as well as the ability to develop critical thinking skills in others
  • Ability to engage in difficult conversations with employees, reports and vendors while maintaining poise and professionalism
  • Ability to work in a fast-paced culture with continuously evolving business needs
  • Detail-oriented individual who excels at managing multiple projects with competing deadlines
  • Intermediate knowledge of Microsoft Office Suite, with advance knowledge of Excel considered a plus
  • Workday experience preferred, especially with respect to absence administration
