Responsibilities

As the Facilities Events Coordinator, your primary focus will be to facilitate and support internal events and happenings throughout Amazon’s corporate offices.  You will work directly with the client to define their objectives and needs to ensure on-site events are executed smoothly and professionally.  This position will be responsible for noting trends, recognizing opportunities for process efficiencies, and improving policies and procedures related to internal events and spaces.  The Facilities Coordinator: Events Specialist will become part of a growing events team, and is a key stakeholder in the success of on-site events at Amazon. Responsibilities will include but are not limited to:      

 

  • Corresponding with Amazon customers via phone, email, and in-person
  • Serving as primary Event Team contact for support and troubleshooting during high impact events
  • Coordinating and leading site visits and walkthrough meetings with customers and vendor partners
  • Disseminating information to large audiences, including alerting building occupants and vendors of event-related impacts
  • Maintaining event records and updating vendor partners as event changes are made
  • Coordinating post-event debrief meetings and managing distribution of required materials
  • Organizing and compiling metrics for quarterly and annual business reviews
  • Identifying opportunities for improving customer experience and vendor efficiency
  • Assisting in the planning and hosting of the occasional GREF-related event as needed
  • Creating and maintaining standardized event documents
  • Supporting visiting vendor access and insurance compliance
  • Creating tracking sheets and organization protocols to ensure consistency of the events program
  • Responding to and acting on customer feedback
  • Supporting Facilities Events Manager as required

Qualifications

Minimum Requirements include:

 

  • Bachelor's degree from an accredited institution
  • Three or more years experience in event coordination or administrative support
  • Three or more years in facilities management a plus
  • Advanced knowledge of Microsoft Office
  • Microsoft Visio or CAD experience preferred

  • High level of accuracy and attention to details

  • Positive, professional, customer-service oriented personality

  • Excellent interpersonal and communication skills

  • Ability to work independently, at times, with little direction
