As a Facilities Events Administrator with Hines, you will support the Global Real Estate and Facilities (GREF) Events Team with Amazon customer registrations, Events Team communications, scheduling and will process Event Request Forms (ERFs). The Facilities Events Administrator will become part of a growing events team, and is a key stakeholder in the success of on-site events at Amazon. Responsibilities include but are not limited to:


  • Responsible for maintaining daily reservations and communications related to access a secure area
  • Schedules, maintains and updates calendar appointments to improve time management and coordination/communication with vendor partners supporting event spaces
  • Reviews, updates, schedules and approves event requests received from Amazon event planners
  • Provides initial response and support related to Amazon event inquiries
  • Assigns event requests to Event Coordinators as appropriate
  • Daily support and organization of event requests
  • Creates and updates documents to track metrics, clarify procedures, provide information, organize team tasks, and others as needs arise
  • Provides periodic day of support to Event Coordinators to assist with successful event operations
  • Processes work orders and event related tickets as needed
  • Supports and maintains good inter-vendor communications between Facilities Events and Catering, AV, Reception, Janitorial and Engineering as requested
  • General office duties and support of events team as required


Minimum Requirements include:


  • Bachelor's Degree from an accredited institution
  • Two or more years experience in event coordination or administrative support
  • Advance knowledge of Microsoft Office
  • Excellent interpersonal and communication skills
  • Strong administrative and organizational skills
  • High level of accuracy and attention to details
