    Responsibilities

    As a Contract Administrator with Hines, you will be responsible for the administration of vendor contracts by preparing, routing and examining all contract activities to ensure compliance and procurement standards are maintained. Responsibilities include, but are not limited to:

     

    • As requested, compose various documents such as agreements, contracts, correspondence, interoffice memos, reports, charts and tables.
    • Draft requests for proposal, solicit local vendors for RFP’s where applicable and create bid comps.
    • Create Contracts and Amendments and Routing Forms for signature and approval.
    • Keep a live up to date tracker of all contract statuses from beginning to end
    • Ensure Hines and Client contract compliance.
    • Keep all documentation update to date and appropriately archived.
    • Effectively communicate and correspond with vendors and maintain vendor contact information.
    • Manage the certificate of insurance program and vendor.
    • Provide vendor reports, schedule vendor QBR’s, run OFAC (Office of Foreign Assets Control) reports for each contract.
    • Create and maintain electronic vendor files.  May generate confidential files and reports.
    • Create, update and maintain departmental databases when appropriate.
    • Complete special projects to support assigned area.

    Qualifications

    Minimum Requirements include:

     

    • Bachelor's degree from an accredited institution
    • One or more years in an administrative support role in a professional office environment
    • Maintain strict confidentiality
    • Advanced knowledge of Microsoft Office
