    Responsibilities

    As an Administrative Assistant with Hines, you will provide administrative support to the office managing director. You will be primarily responsible for handling all administrative matters for the managing director as well as serving as the point person for HR related matters for the office and coordination of certain matters among the office and outside attorneys. The role will be highly visible to internal and external stakeholders and will require a great deal of organization and initiative to be successful. Responsibilities include, but are not limited to:

     

    • Support the Managing Director with all administrative tasks—booking travel arrangements, managing calendar, organizing meetings/conferences, producing expense reports
    • Being the office point person for all HR related matters and liaising with the out-sourced HR provider, initial review of payroll reports, coordination of onboarding of new employees and exiting of leaving employees
    • Circulate documents for signature, accumulate documents for coordination of review with outside counsel, create and maintain legal organization charts

    Qualifications

    Minimum Requirements include:

     

    • High school diploma or equivalent from an accredited institution
    • Two or more years in an administrative support role in a professional office environment
    • Experience in Human Resources
    • Strong communication and organization skills
    • Advanced knowledge of Microsoft Office
    • Ability to work well managing multiple deadlines and managers
