    As a Senior Event Planner (Facilities Logistics) with Hines, you will independently oversee the delivery of internal events for an assigned subset of strategic clients. In addition to acting as the liaison between Event Hosts and key collaborators integral to the successful planning and actualization of events (Facilities, Culinary, Reception, Transportation, Security and Audio-Visual teams), you will also serve as an advocate for the Facilities Events Team during cross-functional projects and planning, and will provide mentorship to more junior team members. Responsibilities include, but are not limited to:


    • As a representative of the Facilities Events Team, own the full life cycle of internal events across an assigned subset of strategic clients.
    • Develop and document standards of procedure for assigned subset of strategic clients.
    • Provide mentorship to 2-3 junior team members, fostering relationships with key stakeholder and establishing best practices.
    • Serve as the primary point of contact and Facilities Events advocate for cross-functional projects and planning.
    • Manage campus-wide event space calendars.
    • Respond to event requests through the Internal Events Platform within the designated SLA (service level agreement).
    • Provide Event Hosts with information on event space configurations and capacities; recommend the most effective set up for the event type and size based on event space availability.
    • Interface with the Event Tech Team, accurately communicating event set-up specifics via internal systems and effectively anticipating issues before they arise.
    • Manage and oversee event spaces on the day of the event, including: event set-up and strike, communication with internal teams and vendors, and troubleshooting for the Event Host.
    • Establish and maintain relationships with Event Hosts and client teams, gaining insight into client- specific needs and event requirements. Develop a network of event service vendor partners; provide Event Hosts with vendor recommendations to facilitate the event planning and production processes.
    • Delegate event tasks to appropriate internal teams as necessary.


    Minimum requirements include:


    • High school diploma or equivalent from an accredited institution required; Bachelor's degree from an accredited institution preferred
    • Five or more years general events experience
    • Strong knowledge of the event planning process, with a focus on logistics and operations
    • Excellent project management skills, with the ability to see projects through from start to finish
    • Ability to work independently in a fast-paced, high-growth environment
    • Must be able to proactively think, plan, and execute resourcefully
    • Must be able to negotiate, organize, delegate, and multitask on various projects
    • Strong customer satisfaction focus, interpersonal skills, and ability to engage with interdepartmental teams
    • Advanced knowledge of Microsoft Outlook
    • Experience with collaboration software preferred
    • Excellent written and verbal communication skills
