    As an Event Planner (Facilities Logistics) with Hines, you will act as the liaison between Event Hosts, key collaborators (Facilities, Culinary, Reception, Transportation, Security, and Audio-Visual teams), and vendor partners to coordinate and execute internal events, inclusive of furniture and equipment set-ups. Responsibilities include, but are not limited to:


    • Manage campus-wide event space calendars.
    • As a representative of the Facilities Events Team, own the full life cycle of internal events across the Facebook Campus.
    • Respond to event requests through the Internal Events Platform within the designated SLA (service level agreement).
    • Become an expert on all event space capabilities; provide Event Hosts with information on event space configurations and capacities, and recommend the most effective set up for the event type and size based on event space availability.
    • Communicate effectively with Event Hosts, key collaborators, and vendor partners to ensure all equipment and set up requirements have been captured prior to each event.
    • Set up and manage event spaces on the day of the event, including: execution of appropriate room configuration, communication with internal teams and vendors, and troubleshooting for the Event Host as needs arise.
    • Establish and maintain relationships with Event Hosts and client teams, gaining insight into client-specific needs and event requirements.
    • Maintain a working inventory of conference room furniture and equipment for events; conduct regular inspections to maintain functionality and aesthetic integrity of conference facilities and equipment.
    • Collaborate with supervisor and Facilities Team to order new supplies and equipment as needed.
    • Coordinate load-in, set up, and load-out of external vendors; facilitate and manage vendor documentation for site access and Certificates of Insurance.
    • Maintain and update site's preferred vendor list.
    • Analyze internal event processes and identify opportunities for improvement.


    Minimum Requirements include:

    • College degree preferred; high school diploma or equivalent from an accredited institution required
    • Three or more years general events experience
    • Strong knowledge of the event planning process, with a focus on logistics
    • Ability to work in a fast-paced, high-growth environment
    • Experience navigating the constraints of high-rise buildings and partnering with municipal agencies and departments preferred
    • Must be able to proactively think, plan, and execute resourcefully
    • Strong customer satisfaction focus, interpersonal skills, and ability to engage with interdepartmental teams
    • Intermediate knowledge of Microsoft Outlook 
    • Experience with collaboration software preferred
    • Excellent written and verbal communication skills
