    As an Executive Assistant with Hines, you will be providing proactive and efficient assistance and secretarial services to one of the Senior Managing Directors for Investment Management and to a Managing Director (Asset Manager), supporting them in most effectively working to pursue the goals of the team. Also support the rest of the team. Responsibilities include, but are not limited to:


    • Diary management and coordination, including liaising with internal and external contacts to arrange meetings, conference calls, seminars, etc.

    • Organising conferences in the UK and abroad

    • Monitoring incoming English and German email traffic and alerting recipient of details as required

    • Travel and accommodation booking: proactive research and presentation of options, using initiative to anticipate requirements and look for optimal cost-effective solutions

    • HR duties including on boarding, holiday planner, organising appraisals

    • Compiling and managing expense reports using Expensify

    • Screening calls and placing calls to internal and external contacts, with an appropriate developed appreciation for importance and priority (e.g. internal hierarchy, major clients)

    • Checking, arranging and formatting documents including memos, reports and presentations

    • Preparation of attractive presentation materials and charts from draft content provided

    • Personal arrangements where required, e.g., lunch, post office, reservations and travel

    • Drafting correspondence where required, copying, printing and binding

    • Maintaining address books and an effective filing system of correspondence

    • Updating/maintaining databases

    • Creating/amending presentations, Word documents, etc.


    Minimum Requirements include: 


    • High school diploma or equivalent from an accredited institution
    • Two or more years in an administrative support role in a professional office environment
    • Some experience in real estate/private equity environment a plus
    • Advanced knowledge of Microsoft Office
    • High comfort level with technology including video conferencing
    • Demonstrate strong initiative with projects, problem solving and customer service orientation
    • Strong written and verbal communication skills
    • Excellent communication skills with confident fluency in written and spoken German and English. Other European languages are not required, but would be beneficial
